LETTER TO ALL VENDORS: DOING BUSINESS WITH THE CITY OF CRANBROOK
The City of Cranbrook has policies and procedures to ensure that the best possible goods and services are acquired at the best possible price. Whenever possible, the City of Cranbrook shall use local suppliers.
Only designated staff with the City of Cranbrook, have purchasing authority and to a certain dollar limit. Each of these employees has a City identification card which you may request be presented.
All purchases of goods and services over $200 require a purchase order. City staff will present you with the purchase order number at time of purchase. The purchase order authorizes you to provide only the specified goods and services at the price indicated. In some cases, where there are liability, labour or performance completion issues, the City may require the Vendor to sign a contract.
City Staff must sign the packing slip at time of purchase or delivery. Please give them the packing slip. All invoices and statements are to be mailed directly to the City of Cranbrook, at 40-10th Avenue South, Cranbrook, B.C. V1C 2M8. All packing slips, invoices, and other correspondence must have the City’s purchase order number referenced. There may be a delay in payment if there are not adequate references on the invoice. The City of Cranbrook pays by invoice, not by statements of accounts and aims to meet payment terms of 30 days from date of delivery.
Vendors within City Limits are required to have a City of Cranbrook Business License before doing business with the City. Vendors providing service including labour are required to provide a WCB Clearance Letter, or other proof of personal injury insurance prior to work commencing. WCB Clearance may be checked before final payment is released.
The City of Cranbrook has strict standards against City Staff accepting gifts, gratuities or staff discounts as a result of their employment with the City. Items of nominal value such as pens and calendars used in the course of employment are exempt.
